To support companies in effectively communicating their responsible sourcing efforts and due diligence progress to stakeholders in a transparent, proportionate, and credible way.

Why this matters

Responsible sourcing is not just about conducting due diligence — it is also about being transparent with stakeholders about what actions have been taken, what challenges remain, and how the company is responding. Effective communication builds trust with customers, suppliers, employees, investors, and industry partners.

Companies should ensure that any claims made are honest, clear, and backed by evidence to avoid greenwashing and reputational risk.

Key actions checklist

  • Define your communication objectives
    Decide what you want to achieve — meeting customer requirements, increasing credibility, or preparing for certification.
  • Determine your audience
    Identify who you are communicating to — customers, suppliers, consumers, regulators, civil society.
  • Choose an appropriate format
    Options range from a simple one-pager or website summary to a formal annual Responsible Sourcing Report. SMEs may start small and build over time.
  • Report on key elements
    Include: your policy commitments, a summary of due diligence steps taken, risks identified and how they were addressed, and planned next steps.
  • Avoid misleading claims
    Only make statements that are factually accurate and backed by evidence. Avoid general claims such as “ethically sourced” unless you can explain what this means in practice.
  • Ensure internal alignment
    Before publishing, ensure relevant internal teams are informed and aligned on messaging.
  • Align with relevant frameworks where applicable
    Consider alignment with GRI Standards, CSRD, OECD Due Diligence Guidance Step 5, or RJC COP.

Reporting Template — Suggested Outline

  1. Introduction — brief business and supply chain overview; leadership statement.
  2. Responsible sourcing policy and scope — summary of commitments, materials, suppliers, and geographies.
  3. Due diligence system overview — how due diligence is implemented.
  4. Risk assessment summary — how salient risks were identified and key risks during the reporting period.
  5. Risk mitigation and remedy actions — overview of actions taken.
  6. Supplier engagement activities — how suppliers were engaged.
  7. Grievance and whistleblowing mechanisms — confirmation of mechanisms in place.
  8. Monitoring and continuous improvement — ongoing monitoring activities and future plans.
  9. Appendix (optional) — charts, summary tables, or list of aligned standards.

Key frameworks to consider: Many voluntary standards including RJC COP and the OECD Due Diligence Guidance require public reporting. Even where not formally required, these frameworks help shape more structured and credible disclosures.
